Is my business too small for AI?

No. Size affects which projects make sense, not whether AI is worth using. Small teams often see faster returns than large ones because there is no procurement cycle, no legacy platform to work around, and one person's freed-up day is a visible share of total capacity.
The question usually means something more specific: “will this be worth the money at our scale?” That is a fair question, and the answer depends on your processes rather than your headcount.
Small businesses have real advantages here
Decisions happen in a week, not a quarter. No steering committee, no procurement gate, no eighteen-month roadmap. You can scope on Monday and be live before month end.
Less legacy to work around. A ten-person business is usually running modern tools with decent APIs. Enterprises spend most of an AI budget getting data out of systems built in 2004.
The impact is visible. Removing four hours a week from a team of five is a change everyone feels. In a company of five thousand it disappears into the noise.
One process is the whole project. SMEs can automate the thing that actually hurts. Large organisations have to build for every regional variation of it.
What changes at small scale
You should be more selective, not less ambitious. The economics are unforgiving of a badly chosen first project, because there is no portfolio to average across. Pick the process that is frequent, rule-based and genuinely painful, and finish it before starting another.
You should also weight buying over building more heavily than a large business would. If an off-the-shelf tool does 80% of what you need for £40 a month, that is usually the right answer.
The honest signs you are not ready
- The process changes every few months. Maintenance will eat the benefit. Stabilise it first.
- Nobody can describe the process the same way twice. Fix the process, then automate it.
- The task genuinely is rare. Frequency is what makes automation pay. Something done twice a year rarely justifies a build, however annoying it is.
- There is no data. AI on top of information that only exists in someone’s head does not work. Capture first.
None of those are about size. A fifty-person business with an unstable process is a worse candidate than a five-person business with a stable one.
Where to start
Most of our SME work begins with one narrow, high-frequency process, delivered as a fixed-fee project so the cost is known before anything begins. If measurable results matter more than a fixed scope, revenue share is an option, where we take a percentage of the value the system creates rather than a fee up front.
Run your worst recurring task through the savings calculator and see what the number looks like. If it does not clear a plausible build cost within a year, that is useful information too.
